Rental Process

My team and I look forward to working with you. In order to make the application process move forward quickly and smoothly we have procedures in place that if followed will ensure a timely response.

  1. Once you have seen a property on our website please do a drive by of the property (do not disturb tenant if occupied).
  2. Contact us for a showing. If tenant occupied keep in mind tenant needs 24 hour notice before a showing can be scheduled.
  3. Fill out Application, sign Criteria Form, and personally deliver to our office (or mail) with an application fee of $20.00 per adult occupant. (Forms can be printed from this Website)
  4. We will not process an application until all applicants have seen the unit, and we have the processing fee.
  5. The more info provided with the application the quicker we can process. Example: pay stub, employment offer letter, bank statements etc. Make sure all numbers are easily readable.
  6. Allow 24-48 hours to process the application (may take a few days during the busy season or if references don't return calls quickly). Feel free to contact us if you haven't heard the result of your application.
  7. If you aren't approved for the property but are qualified we will keep your application available for 30 days in case there are other properties we have that you would like to be considered for. You will not need to reapply during this 30 day period.
  8. If you are approved, you will be contacted to see if you still want the property. If so we will request a holding deposit which is half of one month's rent. If the move-in date is less than 1 week we will proceed to the lease signing and forego the holding deposit. A move-in date will be requested and a lease signing date will be set.
  9. Utilities are to be changed into tenant's name effective the lease date.
  10. Everyone that will be on the lease will need to be present to sign the lease.
  11. All move-in monies collected will be in the form of a Cashier's Check or Money Order made out to Portola Property Management. There is no exception to this rule!!
  12. Keys will be given either at the time of the lease (if same as move-in date) or after 5:00pm the day prior of the move-in.
  13. Tenants cannot move items into property prior to lease date for liability reasons.
